While many doctors and physicians have migrated to online systems for health records, fax machines are still relied upon as a dependable and secure communication tool to send and receive patients’ sensitive data.

Jane App, a clinic management software and electronic medical records (EMR), has announced a new partnership with Documo, which offers a suite of products, to give healthcare providers a protected, reliable way to fax patient documentation within its platform — without the need for additional hardware or software beyond Documo.

“The partnership has allowed us to integrate Documo's faxing capabilities directly into our EMR, which lets our customers send documentation from their patients' charts securely and with just a couple of clicks,” Michelle Weatherby, a product marketing manager at Jane, told the Vancouver Tech Journal. “This helps them ensure they remain in compliance with privacy regulations like HIPAA and PIPEDA [and] reduce the admin burden of securely sharing patient documentation.”

Weatherby added: “If [healthcare providers] use a system that isn’t integrated into Jane, they need to download their patient documentation and then upload it to a HIPAA or PIPEDA-compliant online fax portal or print documentation from Jane and send it using a physical machine. With both of these, there are a lot of steps and opportunities for human error involved.”

The integration allows providers and staff in Canada and the U.S. to send outbound faxes to physicians, insurers, and others with more peace of mind as Documo’s deliverability rate exceeds 97 percent — one of the highest in the industry. 

“Unlike most cloud fax providers, Documo has built its own proprietary fax network — which is all internally managed without reliance on third-party vendors,” explained Shane Fitch, Documo’s president. “This allows us to provide high deliverability rates, increased reliability, and better internal diagnostic capabilities than our competitors.”

As part of the deal, Jane users can also access all of Documo’s features from their platform — such as receiving inbound faxes, storing contacts, and viewing fax history — allowing them to avoid multiple solutions for different online and paper needs.

“What truly sets it apart from many other fax vendors is not only its industry-leading tier-one fax carrier network and highly rated customer support, but also the direction it has taken with advanced document processing tools,” said Shane Fitch, Documo’s president. “These tools, including [optical character recognition] and match and attach, are designed to automate workflows, reduce manual tasks, and streamline the integration of faxed documents into [electronic health record] systems — making it easier for providers to manage critical information without switching between platforms.”

Jane users can start leveraging the integraton’s benefits now. As for what can be expected from the company, it said it has “a lot on the go” to streamline solutions for more healthcare providers. 

“One good example […] is the work that our AI team is doing on creating a voice-to-chart feature,” shared Weatherby. “They've been hard at work — along with a group of our beta testers — creating smart templates that practitioners can customize to create notes just the way they like them. They can enable voice recording in Jane during their sessions and Jane will produce a nicely formatted note. Charting is one of those daily burdens that can take up a lot of time, and honestly, be a bit of a headache. This feature will help significantly reduce both.”
